My client, an Accountancy firm based in London SE1, are looking to recruit for a permanent Receptionist / Office Assistant.

The salary for the role is £18-21k per annum, depending on experience, and they ideally need someone as soon as possible. The vacancy has arisen because of an internal promotion.

The role requires someone to support a team of people, including fee-earners. The ideal candidate needs to be flexible and personable, because this role is vital to ensure the smooth running of the office. Creating a positive first impression to callers and visitors is essential.

MAIN RESPONSIBILITIES:

Reception duties

Answering phone and door including taking messages
Meet and greet visitors and make drinks
Co-ordinating reception diary and meeting room bookings
Opening & closing security bars daily
Order lunch catering when required
Buying milk
Booking couriers
Distribute faxes
Distribute emails from outlook
Franking of daily mail
Forwarding client mail
Banking daily and withdrawing cash when required
Scanning of all client/company filing
Daily backups
Dealing with copier, toners and all printers
Sending staff birthday/occasion cards

Purchase kitchen supplies

To ensure supplies held of all kitchen and office supplies
To purchase drinking water for office
To liaise with Office Administrator Tax for authority and any queries

Stationery

Ensuring adequate stationery held and placing orders where required
Liaising with Admin Manager on purchasing decisions regarding optimum order size, prices paid to ensure best value for money etc
Maintaining lists of all stationery purchased and main suppliers
To liaise with Admin Manager for authority and any queries

Secretarial, Administrative & PA support

Typing – letters, reports and other documents on a daily basis
To provide PA support to team of designated fee earners

Filing, Supplements & Magazine Subscriptions
To file all library supplements and ensure supplements received for all books maintained
To file any accounting paperwork ie. paid invoices
To attach circulation lists


EXPERIENCE  / PERSONAL QUALITIES REQUIRED:

A can-do, helpful attitude
Good timekeeping
Basic computer skills, experience of Word, Excel, OutlooK
Excellent telephone manner
Ability to organise self
Good interpersonal skills
Flexible - able to undertake routine tasks willingly and accurately
Experience within a professional services environment, supporting fee-earners, is an advantage
